Terms, Refund & Design Policies

The agreement that protects your booking, our reservation calendar, and the integrity of every design we deliver.

Deposit

50% non-refundable

A 50% retainer secures your date on our calendar and starts sourcing. It is not refundable once paid.

Mockup tolerance

Up to 30% variance

Real flowers, lighting, and venue conditions cause natural variance from any mood-board or AI-rendered concept.

Scope freeze

7 days before event

Once requirements are locked, day-of additions are billed separately and subject to availability.

1. Booking & Deposit

A booking is confirmed only when (a) you have accepted the written quote, (b) the 50% non-refundable retainer has been received in cleared funds, and (c) we have countersigned the event date on our calendar. Until all three are complete, the date remains open and may be released to another client without notice.

The retainer covers calendar reservation, design hours, vendor pre-commitments, and material sourcing — work that begins immediately upon confirmation and cannot be recovered if the event is cancelled.

The remaining balance is due no later than 7 calendar days before the event date. If the balance is not received by that deadline, we reserve the right to suspend further preparation and treat the booking as cancelled under Section 2.

2. Cancellation & Refund Policy

All cancellations must be sent in writing to [email protected]. The date of the email is the cancellation date.

Why this exists. Every confirmed booking blocks the calendar and is turned down for inquiries from other families. Late cancellations cost us both that booking and the income we could have planned around it. The graduated schedule reflects how much work, sourcing, and lost-opportunity has accumulated by the time you cancel.

Rescheduling. If a written reschedule request is received more than 45 days before the event and a new mutually available date is found within 6 months, the retainer carries forward in full. Inside 45 days, a reschedule is treated as a cancellation under the table above.

3. Design Acceptance & Lock-In

We present a written design concept — mood board, color palette, element list, and where applicable an AI-rendered or hand-sketched visualization — for your review. You may request revisions during the discovery and design phase at no extra cost.

Once you approve the concept in writing (email confirmation counts), the design is locked for colors, theme, and core elements. From that point on, any change to the palette, signature elements, scale of the setup, or theme requires a written change order and is treated as additional work under Section 7.

This lock protects both sides: we can confidently source florals and pre-build pieces, and you can be certain the room you signed off on is the room you will walk into.

4. Mockup vs Final Design — Tolerance

Concept boards, reference photos, and AI-generated renderings are visual references, not exact promises. Real-world events involve fresh florals, seasonal availability, on-site lighting, venue dimensions, and last-minute substitutions that no digital preview can match perfectly.

By accepting the design under Section 3 you acknowledge that the final setup may differ from any preview image by up to approximately 30% in the following dimensions:

  • Exact flower variety, shade, density, and weave (we substitute comparable seasonal stems when a specific flower is unavailable or out of acceptable quality).
  • Color saturation and lighting tone — venue lighting, time of day, and photography conditions all shift how colors appear.
  • Fabric drape, sheen, and texture — bolts vary between production runs.
  • Background and ambient elements not explicitly listed in the element list.

We will not substitute the core signature elements you signed off on (e.g. the mandap, primary stage backdrop, ceremonial focal piece) without first contacting you. Everything outside that signed list is treated as styling judgement to be exercised in good faith.

In short: we promise the experience and the signature pieces. We do not promise pixel-identical reproduction of a render.

5. Rental Items & Damage

Many setups include rental items — mandap structures, brass vilakku and urli, kalash sets, props, fabric panels, lighting rigs, and floral installations. These items remain our property and are inventoried before and after the event.

You are responsible for the care of these items while they are at your venue. The following will be invoiced after the event at replacement-or-repair cost:

  • Items lost, stolen, removed by guests, or not returned at tear-down.
  • Items broken, chipped, dented, burned, stained, or otherwise damaged beyond normal wear.
  • Cleaning fees for excessive food, wax, oil, mehndi, or rangoli residue beyond ordinary cleaning.
  • Late return charges where you have taken possession of an item for off-site use.

Brass and metal items are valued at current replacement cost. Custom-fabricated pieces (mandap panels, backdrops built for your event) are billed at the actual cost to remake them. We will share photographs and an itemized invoice within 14 days of the event.

6. Requirements Freeze (7 Days Out)

To deliver a polished setup we freeze the working scope 7 calendar days before the event. By that point florals are pre-ordered, fabrication is underway, staffing is locked, and trucks are routed.

After the freeze:

  • Removing elements from the scope does not reduce the agreed fee — those costs are already committed.
  • Adding elements is subject to availability and is billed as a separate change order under Section 7.
  • Material and color substitutions we deem necessary for quality will be communicated by phone or WhatsApp but do not require written approval.

7. Day-of Changes & Add-Ons

We sometimes receive new requests on event day — an extra backdrop, an additional puja setup, a relocated stage, more garlands. Wherever possible we will accommodate them, with the following understanding:

  • Day-of additions are billed at our published time-and-material rate plus a 25% rush surcharge.
  • Day-of additions are subject to crew capacity, vehicle availability, and venue load-in windows. We may decline an addition if it threatens the quality of the agreed setup.
  • Major changes to layout, mandap position, or stage backdrop after setup has begun typically cannot be accommodated.
  • Verbal approval from the family member coordinating with our lead on site is treated as written approval for billing purposes.

We document agreed day-of additions in our private event log and will send the change-order invoice within 7 days of the event.

8. Liability & Force Majeure

Our total liability for any claim arising from a booking is limited to the amount you have paid us for that booking. We are not liable for indirect or consequential losses, including relocation costs, vendor coordination outside our scope, or guest-related expenses.

We are not responsible for delays or non-performance caused by events outside our reasonable control — including severe weather, power loss, road closures, venue closures, public-health orders, or supplier failure. Where a force-majeure event prevents delivery, we will work with you in good faith to reschedule or partially deliver and will refund only the portion of fees that has not yet been committed to materials or labor.

9. Questions, Concerns & Disputes

We would much rather resolve a concern in conversation than in a dispute. If something feels wrong before, during, or after your event, please contact us directly at [email protected] within 14 days of the event so we can investigate while the details are fresh.

These terms are governed by the laws of the State of Washington, USA. Any unresolved dispute will be handled in the courts of King County, Washington.

We reserve the right to update these terms as our business evolves. The version in effect for your booking is the version live on this page on the date your retainer is received.
